Assigning Training Courses

This tutorial will show you how to assign training courses to your individual employees. eNETEmployer provides a number of pre-formatted training courses that can be assigned to your employees as part of their onboarding.

This tutorial has two parts:

    Before you begin: - This tutorial assumes that you have added one or more training courses to your HR program via the HR Training Courses screen. If you have not yet added a equipment record, please view the Add an HR Training Course tutorial to learn how to do so before proceeding with this tutorial.

To Assign a Course to an Employee:

  1. Click on the HR tab and then choose the Employee HR menu to display the various options.

  3. Choose the Employee HR - Training Required menu option. This opens the Employee - Training Required screen where you can assign equipment to your employees.

  4. When the Training Required screen appears, select the drop-down list immediately to the right of the New button. This displays a list of the employees that are a part of your HR program.

  6. Select the desired employee's name, and then choose the New button to insert a new course row in the table.
  7. Move to the Skill cell and then click on the downward arrow to display a list of skill types that have been added to your HR program.

  8. No Available Skill Types? If you do not see any skill types in this drop down list, it is because none have yet been added in the HR Skills screen (accessible from the Employer HR - Skills menu command). Refer to the Adding HR Skill Types tutorial for further details.

    Example: In Fig. 03 below, we see a number of available skill types that can be associated with the course you are about to assign. These skill types were added earlier in the Add HR Skill Types tutorial.

  9. Click on the equipment type to associate it with the training course you are assigning. This closes the drop down menu and displays your selection in the Skill cell.
  10. Move to the Course cell and then click on the downward arrow to display a list of training courses that have been added to your HR program.

  11. No Available Training Courses? If you do not see any courses in this drop down list, it is because none have yet been added in the HR Training Courses screen (accessible from the Employer HR - Training Courses menu command). Refer to the Adding an HR Training Course tutorial for further details.

    Example: In Fig. 04 below, we see a number of available pre-defined training courses. These courses were added earlier in the Adding an HR Training Course tutorial.

  12. Click on the course name to assign it to the current employee. This closes the drop down menu and displays your selection in the Course cell.
  13. Move to the Required Date cell and use the Calendar icon to define the date on which the course is being assigned.
  14. If the course has already been completed, then move to the Completion Date cell and use the Calendar icon to enter the appropriate date.
  15. Move to the Level cell and then enter a numeric value that indicates the rating or level that is associated with the current course. For example, if the course is deemed to be entry-level, you could enter a "1" into this cell.
  16. Select the Documents button to open a window where you can attach documents and files that pertain to the current course or its assignment. This can include PDFs, word processing documents, spreadsheets and images.

  18. When the Documents window appears, select the "+" (plus sign) icon to display the Open dialog box, and then use this window to navigate to the location of the document(s) that you wish to add.
    Example: In Fig. 06 below, we see several documents that relate to the course's content and instruction.

  19. Select one or more documents as needed, and then choose the Open button. This adds the selected document(s) to the eNETEmployer Documents window.

  20. Select the Close button to exit the Documents window and return to the Training Required screen.
  21. When your details are complete, choose the Save icon (the Check Mark icon at the left side of the row) to accept your changes. This action saves the changes for the row and takes you out of Edit Mode.
  22. Repeat the preceding steps to assign additional training courses as needed.
    Example: In Fig. 08 below, we have assigned three courses to our sample employee.

  24. Save the changes to each row when you are complete.
  25. Now you can proceed to the last step in the tutorial where you can learn how to send your employee their course invitation by email.



To Email the Course Invitation

Once you have assigned the course(s) to your employee, you must send them an email invitation so that they can access and complete the course.

  1. In the Training Required screen, move to the desired course row and then select the Email button. This displays a message prompt asking you to confirm that you wish to send the invitation.

  3. Choose the OK button to complete the procedure. This sends the invitation to the employee and displays a followup message that shows the recipient's name and employee number.

    When the employee receives the email, it will contain a link to a web page that will show all training courses that they have been assigned.
    Example: In Fig. 11 below, we see the email invitation that contains a link to the required course page.

    This completes the tutorial on assigning training courses to an employee.
